How recipients can sign documents

When a document is sent to recipients, they will receive an invitation to sign via the chosen channel—email, SMS, or WhatsApp. This section explains how an invitee can sign a document when the invitation is sent via email.

Step 1: Receiving and Acting on the Invitation

As a signatory, you will receive a notification, such as an email, requesting you to sign the document digitally.

  • Open the Email: The email will contain a link to the document.
  • Click the “Sign Document” Link: This link will initiate the digital signing process and direct you to the document to be signed.

By clicking on the link, you start the process of digitally signing the document.

Step 2: Start Signing

Once you are in the signing environment, you'll see all the fields that need to be completed:

  • Grey Dots: Indicate where actions are required. These dots will guide you to each field that needs to be addressed.
  • Action Count: At the bottom of the page, you’ll see the number of remaining actions needed to complete the signing process.

Click on the field where an action is required and add your signature using one of the following options:

    • Pre-filled Name: Use a pre-filled name if available.
    • Upload an Image: Upload an image of your signature.
    • Draw Your Signature: Draw your signature directly on the screen.

Repeat this process for all required fields and actions. The document will automatically move to the next required action. Once an action is completed, the dots and fields will turn green, and the number of remaining actions will decrease.

Step 3: Sending the Signed Document

Once all requested information has been filled in and/or signed:

  1. Click “Sign Document”: This completes the signing process and sends the signed document.
  2. Agree to Terms and Conditions: A pop-up will appear asking you to agree to the terms and conditions. Read the terms and conditions carefully.
  3. Click the ‘Sign’ Button: If you agree with the terms, click the ‘Sign’ button to finalize the signing process.

Step 4: Dossier Signed Successfully

Once all signatories have completed the signing process:

  • Receive Confirmation Email: You will get an email with the signed document attached. Besides the Dossier Owner, also all other recipients receive a copy of the signed document. However, only the dossier owner receives the audit report.
  • Save and Keep the Document: Download and save the signed file for your records.
