How to work with external barcodes/tickets

In Seated Ticketing, it is possible to use External Tickets. These can be uploaded to the platform, allowing the use of other tickets. Follow the steps below.

  1. Ensure each ticket is saved individually as a PDF on a drive or in the cloud.
  2. Create an Excel file with at least the following fields:
  • Name of the section
  • If using reserved seating, Row
  • If using reserved seating, Seat
  • Filename for each PDF
  • Add a field named link, but leave it empty for now
  • Note! If you are working with a connection to the CDP or Appmiral and want the barcodes to be returned, create a field for your barcode and fill it in with the numerical values from the barcodes of the PDF files.

  1. Open Seated Ticketing, go to settings in the bottom left, and then choose file manager in the last block.

  1. Then click on add file at the top and select all the individual PDF files you need. Do this in batches if you have a large number of files.

The system will now upload all the files you have selected. NOTE: if the screen freezes/goes to sleep, the upload will stop, so it may be useful to split the files into batches. You can use other tabs and continue working during the upload.

If the upload is complete, you may receive a notification that some files failed. Download this file and try to add these individual files one by one in the same way.

  1. Once all files are uploaded, we will export them to get an overview in Excel of the file name and direct link. This file will look like this.

Now we just need to ensure that the correct link is in the first file so that we can import it properly. This is easiest done via a Vlookup in Excel.

  1. Reopen the first file and go to the first cell under the link column.
  2. Enter the formula =Vlookup and then select the first cell with a file name. Now select columns B and C in the file from step 5, and type ,2, false.
  3. Now you have the link corresponding to this file type. Drag it down in Excel and then copy the entire column. Paste only the values to avoid any issues with the formula.
  4. Your first file is now ready for import.
  5. In Seated Ticketing, go back to settings and choose import manager in the last block.

  1. Now click on the plus sign on the right to start a new import.
  2. Select your file and proceed to the next step.
  3. In this step, choose external tickets and select the event. Note that this option must be activated by development via Jira.

  1. In the next step, map the file as follows.

  1. In the next step, map the sections to the correct section.
  1. In step 5, you can start the import. NOTE!! Only click start import after the progress bar is fully at 100% and the screen has refreshed itself.
  1. Now the import is running, and the external tickets are linked to the event.

There are two additional points to keep in mind when using external tickets.

  1. If you want to use the guest manager, make sure that the external PDFs are added first before sending the tickets to the guest manager.
  2. External tickets for general admission sections cannot yet be assigned by name. The system fetches a random PDF for each general admission section since there is no further reference to a row and seat.
